Privacy Policy

1. Who we are
Easy Flow Church ("Easy Flow", "we", "us") is church-management software operated by [LEGAL ENTITY NAME]. Churches and ministries ("Churches") subscribe to Easy Flow to manage their people, events, giving records, forms, and communications. Each Church's pages may appear at an easyflow.church address or on the Church's own domain.
Easy Flow is the platform provider. When you give information to a Church through Easy Flow (for example, a connect card, form, event sign-up, or vote), that Church decides how your information is used and is responsible for it. Easy Flow stores and processes that information on the Church's behalf and according to its instructions. For questions about how a specific Church uses your information, contact that Church directly.
2. Information we collect
- Information you submit: name, email address, phone number, mailing address, dates such as birthdays, answers to form questions, prayer requests, and similar details you choose to provide.
- Information a Church enters: member and visitor records, family relationships, attendance, giving records, volunteer schedules, notes, and tags.
- Account information: for Church staff and members who sign in, email address, password (stored in hashed form by our authentication provider), role, and sign-in activity.
- Consent records: if you agree to receive text messages or emails, we record what you agreed to, when, the form you used, and technical details such as IP address and browser type, as proof of consent.
- Technical information: IP address, browser and device details, and logs used for security, spam prevention, and troubleshooting. Public forms may use Cloudflare Turnstile to block automated spam.
- Payment information: subscription payments by Churches are handled by Stripe. We do not store full card numbers.
3. How information is used
- To provide Easy Flow to Churches, including follow-up, scheduling, records, and reports.
- To send messages that a Church sends to you, or that you asked for, such as confirmations, reminders, and follow-ups.
- To secure the service, prevent spam and abuse, and fix problems.
- To bill Churches for their subscriptions and to comply with legal obligations.
4. Text messages (SMS)
If you opt in, a Church may send you text messages through Easy Flow, such as guest follow-ups, event reminders, and updates. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time and HELP for help. Consent to receive texts is never required to submit a form, attend a Church, or make a purchase.
We do not sell, rent, or share mobile phone numbers or text-messaging opt-in information with third parties or affiliates for their marketing or promotional purposes. Phone numbers are shared only with service providers that deliver messages for us (for example, our SMS carrier partner), and only for that purpose.
5. Email
Emails are sent on a Church's behalf through our email delivery provider. Replies go to the Church. You can unsubscribe from a Church's follow-up emails using the link in the email or by contacting the Church.
6. Sharing
We do not sell personal information. We share information only:
- with the Church you gave it to;
- with service providers that help run Easy Flow (for example, database and hosting providers, email and SMS delivery providers, payment processing, and spam protection), under contracts that limit their use of it;
- when required by law, or to protect the rights, safety, and security of users and the service;
- as part of a merger or sale of the business, subject to this policy.
7. Retention and security
Information is kept for as long as the Church keeps its account active or as needed for the purposes above, then deleted or anonymized within a reasonable period. Consent records may be kept longer as proof of consent. We use access controls that separate each Church's data, encryption in transit, and limited staff access. No system is perfectly secure.
8. Your choices
- Opt out of texts by replying STOP, and out of emails with the unsubscribe link.
- Ask the Church to see, correct, or delete your information. If you can't reach the Church, contact us and we will forward your request.
- Depending on where you live, you may have additional rights under local privacy laws.
9. Children
Churches may record information about children in their families or ministries. Easy Flow is not directed to children under 13, and children should not submit information without a parent or guardian.
